1. What Data We Store
Vextro is built as a local-first invoicing and payments app. Your customers, invoices, quotes, proof photos, signatures, notes, payments, expenses, jobs, and inventory records are stored on your device.
Server-side data managed by Vextro
- Account information: Your email address and authentication account managed through Firebase Authentication.
- Subscription status: Trial, subscription, promo-code, and entitlement records used to confirm your access to Vextro Pro.
- Payment gateway setup: Non-sensitive gateway status plus encrypted merchant credentials if you choose to connect Paystack or another supported gateway.
- Payment and quote link records: Secure tokens and payment-link metadata needed to open public customer payment or quote-approval pages.
- Webhook records: Payment and subscription events required to update payment status and subscription access.
On-device data managed by you
- Business records, customers, invoices, quotes, proof photos, signatures, notes, payments, expenses, jobs, and inventory are stored locally on your device.
- Vextro does not use its server as a cloud database for your customer or invoice records.
- You can remove on-device data by deleting it in the app where available, clearing the app data, or uninstalling Vextro from your device.
- Device backups may be handled by your platform account, such as Google Drive backup on Android or iCloud backup on iOS, depending on your device settings.
2. How to Request Data Deletion
To request deletion of your Vextro account and associated server-side data, send us an email using the button below. The email will be pre-filled with the information we need to process your request.
Alternatively, email info@synergydesigns.co.za with the subject line “Data Deletion Request - Vextro” and include the email address associated with your account.
3. What Happens Next
- We will acknowledge your request within 2 business days.
- We may verify your identity to ensure the request is legitimate.
- Your account and associated server-side data will be deleted or anonymised within 30 days, unless a longer retention period is legally required.
- You will receive a confirmation email once the deletion process is complete.
Please note: Active subscriptions must be cancelled through Google Play or the Apple App Store. Deleting your Vextro account does not automatically cancel a store-managed subscription.
4. Data Deleted Upon Request
When we process your deletion request, the following server-side data will be deleted or anonymised where legally permitted:
- Your Firebase Authentication account and account identifiers.
- Subscription entitlement records linked to your Vextro account.
- Encrypted payment gateway credentials and gateway configuration records.
- Public payment-link and quote-approval tokens linked to your account.
- Webhook routing records linked to your account.
- Support or deletion-request correspondence, subject to reasonable legal and security retention needs.
On-device data is stored locally on your phone or tablet. You can remove it by deleting records in Vextro where available, clearing the app data, or uninstalling Vextro. Platform backups may need to be managed separately in your Google or Apple account settings.
5. Your Rights Under POPIA
As a South African data subject, you have the right to request access to, correction of, or deletion of your personal information under the Protection of Personal Information Act (POPIA). For more details about how we handle personal information, please read our Privacy Policy.
